Epping Residents Group
Constitution
1. The name of the association will be: Epping Residents Group ( ERG)
2. The aims for the association shall be:
- a. To work on behalf of the residents of Epping to advance their best interests by providing advice and support.
- b. To provide an interface with Epping Forest District Council (EFDC) on the Local Plan and planning issues.
- To strenuously defend the greenbelt
3. The association shall be non-political and non-sectarian
4. All residents of Epping are eligible for membership
5. The association shall work in partnership with other local areas and representatives may be invited to the association's meetings.
6. The officers of the association shall be:
- Ø Chairperson, Vice-chairperson, secretary, treasurer, marketing and publicity.
Any member is eligible to hold any of these offices and shall be elected annually at the Annual General Meeting ( AGM).
7. The committee shall usually consist of up to15 members plus 5 officers of the association as in section 6.
8. Additional committee members may be co-opted and sub-committees may be appointed by the committee for any specific purpose, for a period of time to be decided by the committee.
9. No more than two members under section 8 can hold office on the committee.
10. The Chairperson (or Vice-Chairperson, if the chairperson is absent) only votes when the voting is even.
11. A quorum of the committee shall be 5 and it must incorporate 2 officers.

12. The AGM shall be held in within 90 days of the year end for which 14 days notice shall be given.
13. The financial year shall end on 30th April. The Treasurer shall keep an account of all income and expenditure and shall submit accounts, duly audited, at the AGM.
14. Two auditors who are not members of the committee shall be elected annually at the AGM to audit the accounts and books of the association.
15. Bank accounts shall be operated in the name of the association and withdrawals shall be made on the signature of any two officers of the association.
16. The association will use the funds for its working needs and for the benefit of the residents of Epping.
17. There shall be at least three meetings of the association each year.
18. An Extraordinary General Meeting can be called at any time by the committee or by 20 members of the association with thirty days notice in writing.
19. No alteration to this constitution may be made except at the AGM or a Special General Meeting called for this purpose. Any proposed amendment to this Constitution must be given in writing 14 days before the AGM. Alteration to the Constitution shall receive the assent of two thirds of the members voting at an AGM or Special General Meeting.
20. The association may be dissolved by a resolution presented at a Special General Meeting called for this purpose. The resolution must have the assent of two thirds of those members present voting. Such a resolution may give instructions for the disposal of any assets remaining after satisfying any outstanding debts and liabilities. These assets will not be distributed among the members of the association but will be given to a charitable purpose.
